Programs Support Coordinator


POSITION DESCRIPTION: The Programs Support Coordinator will play a vital role in supporting the Mental Health/Training Departments to ensure effective employee training programs by coordinating logistics, managing resources, performing administrative tasks, and supporting the development and delivery of training materials, while also tracking and evaluating training outcomes. This administrative position requires a well-organized, detail-oriented individual with excellent time management skills, and the ability to master different administrative tasks in a fast-paced, high pressure environment. The position requires an enthusiastic individual extremely motivated to succeed with excellent written and verbal communication skills. This role requires an individual able to effectively work independently with minimal direction or in a multidisciplinary team environment, proactively perform and anticipate administrative needs, able to successfully multitask, able to maintain company and customer confidentiality, and practice corporate and personal integrity on the highest level.

This position will have the ability and professional demeanor to enhance the agency's ethos and support the clinical and administrative functions of the Mental Health and Training Departments.

REQUIREMENTS & QUALIFICATIONS:

  • Bachelor's degree from and accredited college or university.
  • Bachelor's degree in education, human resources, social work, psychology, or a related field
  • Bilingual in English/Spanish
  • Must possess a valid California driver's license
  • Willingness to expand on public speaking skills to deliver engaging and informative presentations
  • Excellent communication skills and ability to clearly convey information to diverse audiences
  • Self-directed and effective in problem solving and managing multiple demands and objectives
  • Good organizational skills as well as time management
  • Competency to identify and address training needs and challenges to find solutions
  • Proficient in Microsoft office suite, presentation software, and other relevant software
  • Ability to operate media equipment such as projectors and personal computers
  • Ability to build rapport and collaborate effectively with trainers, trainees, and other stakeholders
  • Professional demeanor internal and external customer service
  • Flexible and able to adapt to changing circumstances and priorities
  • Maintain good communication to ensure others have necessary information
  • Hybrid position minimum 2 in office days or more as needed

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    All of the responsibilities listed below are considered essential functions of this position. Additionally, this position is expected to ensure adherence to the core operating values and the strategic direction of the agency.

    Internship Program

    1. Support with networking and outreach with universities to increase the number of intern applications we receive and strengthen and maintain excellent relationships with master's programs
    2. Track applications of students interested in interning with our agency, schedule interviews, and assist with the onboarding process of interns
    3. Serve as a liaison with HR and IT to help with the onboarding process for interns and assist with ensuring interns are submitting necessary documentation in a timely manner

    Support Groups?

    1. Conduct outreach within agency, outside of agency and within the community to present on group programs offered at the agency
    2. Serve as a liaison within departments to recruit internally and externally for group clients
    3. Coordinate with the admissions department to prioritize assigning to therapists prospective clients who qualify for groups
    4. Send reminder emails and/or make calls to group clients to assist with attendance and improve group retention

    Trainings & Presentations

    1. Work closely with the Director of Training to plan, organize, and coordinate training programs, events, and logistics, and track and report on training outcomes
    2. Assist with the coordination of meetings, including setting dates of meetings, coordinating with all parties, and sending out all communication documentation
    3. Track the collection of all training related documentation and enter information into electronic system to ensure all required deadlines are met
    4. Support with the development of training aids such as manuals and handbooks
    5. As directed develop, deliver, and coordinate relevant trainings to support employee growth and ongoing knowledge

    ?Department/Agency

    1. Assist with administrative duties (filing, note writing, supply ordering, booking venues, etc.)
    2. Coordinate and communicate with staff and external vendors for various events (weekly planning and team meetings, trainings, appreciation luncheons, etc.) order supplies, food pick up, etc.
    3. Data input to various systems and platforms
    4. Ability to complete all paperwork in a timely manner
    5. Maintain standards of confidentiality
    6. Maintain positive work relationships in a respectful and collaborative manner
    7. Sensitivity to working with culturally diverse populations
    8. Facilitate and maintain positive interpersonal relationships with community partners
    9. Attend regularly scheduled agency wide meetings, community, and other meetings as required or assigned
    10. Conduct all functions in accordance with agency guidelines, policies, and procedures
    11. Comply with applicable agency contracts, professional licensing or certification requirements and ethics
    12. Arrange work schedule or required hours to the benefit of the program
    13. Perform other assigned duties that may be necessary or in the best interest of the agency


    Job Type: Full-time

    Pay: $25.00 - $26.25 per hour

    Expected hours: 40 per week
