SALARY RANGE: $50,000k- $55,000K
POSITION DESCRIPTION: The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organization's human resource department. The ideal candidate would possess excellent communication, critical thinking, and organizational skills and maintain confidential information. This position will also serve as a back-up receptionist as needed. Responsible for human resources activities including maintaining personnel files. Duties assigned relating to the administrative component including, policy and procedure updates, typing, e-mail, and other clerical duties.
REQUIREMENTS & QUALIFICATIONS:
- Associate's degree or equivalent years of experience.
- Prior related office experience preferred.
- Bilingual (Spanish/English) preferred.
- Self-directed, efficient and effective in problem solving and managing multiple priorities and objectives
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications.
- This is an on-site position Mon-Fri 8:30am-5:00pm (subject to change at any time, based on department needs).
DUTIES & RESPONSIBILITIES:
All of the responsibilities listed below are considered essential functions of this position. Additionally, this position is expected to ensure that the core operating values and the strategic direction of the agency are adhered to.
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Answers frequently asked questions from applicants and employees related to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
- Maintains the integrity and confidentiality of human resource files and records.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Provides clerical support to the HR department.
- Coordinates the performance management process, ensuring performance appraisals are done on time and are consistent with core values.
- Conducts or assists with new hire orientation.
- Assists in the recruitment and onboarding process, conducts initial phone screening and scheduling interviews.
- Compose and send rejection letters to interviewed candidates.
- Conduct references check and employment verifications.
- Report New hires to EDD (Form DE34).
- Must be able to identify and resolve problems in a timely manner.
- Must be able to gather and analyze information skillfully.
- Work collaboratively and communicate effectively with staff and management
- Creation of departmental manuals and forms.
- Set up new hires into e3 HR system and RELIAS e-learning system.
- In collaboration with the Risk & Compliance Department, track, and maintain records for all employee training in RELIAS e-Learning System.
- Attend regularly scheduled staff meetings, agency-wide meetings and training sessions and other meetings as assigned.
- Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
- Perform other duties as assigned.
Physical Activity:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Reaching, Standing, Typing, Talking, Hearing, Repetitive Motion.
- The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
- The worker is not substantially exposed to adverse environmental conditions.
