POSITION DESCRIPTION: Under VP Finance supervision the mental health Billing Supervisor oversees the billing processes for mental health services, ensuring accuracy, compliance with regulations, and timely payment. This role involves supervising billing staff and resolving complex billing issues. Responsibilities include staff training, performance monitoring, and reporting on billing metrics.

DUTIES
AND RESPONSIBILITIES:
- Manages and coordinates the day-to-day activities and infrastructure of the centralized billing department.
- Responsible for managing the in-house billing system, client eligibility assessment and the entire claims submission process, client and third-party payment billing and tracking, and reimbursement/reconciliation management.
- Ensures compliance with all applicable contracts and laws.
- Supervises a diverse team of staff including reimbursement/reconciliation staff, data entry staff, and third-party payer specialists, if applicable.
- Provide training and support to team members.
- Thorough understanding of all procedure codes for Mental Health services. Be able to determine the proper procedure codes/add on codes/modifiers needed for different types of service.
- Thorough understanding of the electronic health care system including client chart set up, note template set up, rate building, funders and funding source set up, billing process set up, claim files, reports, etc.
- Thorough understanding of the contract agreements with funder(s) and complying with billing requirements.
- Thorough understanding the claiming process and all internal and external billing and claims related reports and tables.
- Actively participate in discussion and provide constructive input in electronic health records system set up and changes according to billing needs.
- Evaluate the billing process and workflow, including but not limited to pre-billing review/correction, claim submission, troubleshooting, resolve and rebill denied claims, monitoring claim status changes, etc. Implement changes and improvements to procedures and workflows as needed.
- Maintain and update the billing manual.
- Proactively seek and attend training for the billing team to stay up to any changes in the industry and improve related knowledge.
- Monitor contract funding utilization. Initiate and submit requests for additional funding to funders. Adjust billing as needed.
- Analyze claims to determine program revenues. Perform other analysis and tracking as needed and/or assigned by supervisor.
- Perform regular claims reconciliation between internal system and funder data (DMH EFT, etc.). Identify and resolve discrepancies.
- Participate in internal and external meetings as representative of the billing team.
- Act as liaison between TVFS billing department and DMH CMMD.
- Support the finance department and agency as needed.
- Support in audits and special projects as assigned by supervisor.
